 Job Description: The studio assistant is responsible for the successful and efficient operation of the Rebecca Rose Events studio. You’ll work closely with the ownership team and other associates to support business growth, streamline client interface, and ensure outstanding customer service to all clients and vendors. The ideal candidate has outstanding customer service skills, is extremely organized, is detail-oriented, has great time management skills, works well with a team, and is able to take initiative and act without direction. You will contribute to the efficiency of our business by providing personalized and timely support to the ownership team and to our clients.Rebecca Rose Events is located in Winston-Salem, North Carolina.

The Rebecca Rose Events studio is located in Winston-Salem, North Carolina in historic Reynolda Village. Our in-house services include event planning/design, fresh floral design, graphic design, and print production.Primary business hours are Tuesday-Friday 9:30am- 5:30pm. Due to the nature of special events, work hours may fall during non-traditional hours, including weekends, holidays, late nights and early mornings.

Essential Duties & Responsibilities: 

  • Maintain a thorough and extensive knowledge of our business, the luxury wedding market, and our clients, by staying current on industry news, reviewing client event and design details, and proactively anticipating needs

  • Answer phones, screen calls, provide relevant answers to potential clients, current clients, and vendors, route pertinent calls to the correct person, schedule meetings as necessary and/or take messages

  • Maintain a clean, organized, and welcoming studio environment for our staff and visitors. This can include:

    • Preparing the studio for client meetings and creative sessions

    • Researching and stocking clients’ favorite beverages and snacks

    • Daily cleaning maintenance such as removing trash, stocking bathroom supplies, washing dishes, sweeping, mopping, dusting

    • Scheduling cleaning crew or contract staff for deep cleaning

  • Create and maintain par levels for office supplies and client materials

  • Manage all shipping and receiving companywide

  • Manage the calendar by confirming all client and vendor appointments and by scheduling appointments, as needed

  • Assist in the sales and booking process for Rebecca Rose Events by overseeing incoming leads, tracking data, and setting up appointments

  • Conduct research and present proposals for products/services such as event materials, key event vendors, business and office needs

  • Assist with floral design projects, custom graphic design projects, and business development/marketing projects

  • Manage client guest lists and mailings. This can include:

    • Working directly with clients to manage their lists, overseeing deadlines, reviewing etiquette, and communicating with printers/calligraphers

    • Develop and execute a plan for each mailing assembly project.You will be responsible for planning ahead, communicating and coordinating with the Design and Production Manger, and staffing, as needed, to successfully meet the mailing deadline.

  • Run business related errands. This could include, taking client mailings to the post office, picking up event/office/client materials, taking items to the printer/completing press checks, picking out/mailing client gifts, and attending industry related meetings and events

  • Record minutes from our staff meeting and add/manage tasks in workflow interface

  • Assist in business accounting by tracking office supplies and client material purchases and scanning all business paper receipts

  • Responsible for maintaining a high energy, positive attitude and professional appearance.You are expected and encouraged to be a brand ambassador for Rebecca Rose Events, even when not at work. You are expected to represent the values of Rebecca Rose Events, and assist in building new vendor and client relationships

  • Assist with social media and marketing efforts as needed, and maintain personalized RRE social media accounts for yourself.

  • Assist with promotional events such as open houses, editorial photo shoots, and milestone events

  • Assist onsite during wedding and special events, include destination events (requiring travel). This may include:

    • Loading and unloading event materials, ironing linens, moving furniture, setting place settings, and prepping paper goods/design materials

    • Communicating with clients/guests, adherence to event day timeline, coordinating vendor deliveries, directing guests, and onsite troubleshooting

    • Responsible for the success of the event by working with the team and ensuring client satisfaction

    • Event breakdown responsibilities include, but are not limited to onsite/post event cleaning and repackaging event materials, taking inventory and packing linens, disassembling floral arrangements, returning event materials to the RRE studio

Desired Qualifications, Skills, and Experience: 

  • 4 year college degree preferred

  • 2+ years customer service experience required

  • 2+ years in the wedding or social event industry preferred

  • Attention to detail

  • Strong interpersonal skills and the ability to work effectively with others

  • Ability to multitask, organize, and prioritize

  • Reliable transportation to and from work and access to run errands, as needed

  • Proficiency in Microsoft Office Suite (Word, Excel, Access, PowerPoint)

  • Excellent written and oral communication skills

  • Understanding and experience working within a luxury market segment

  • Strong desire to work in the wedding industry and stay current on industry news/trends
