PROPOSAL FOR DESTINATION WEDDING PLANNING, DESIGN & PRODUCTION

INTERNATIONAL DESTINATION | WINTER/EARLY SPRING, 2027 | Approximately 75-100 GUESTS

Dear Callie,

It was so lovely to meet you today! Thank you for considering Rebecca Rose Events for the destination wedding celebration you’re planning in early 2027. We would be so honored to work with you, Sander, and your family.

First and foremost, our goal is to ensure that the wedding weekend turns out to be everything you imagined and much more. We find great joy in creating a special experience for each couple that we serve - with a particular focus on comprehensive creative direction. We believe that wedding celebrations should be about family, close friends, joyful celebration and unconditional love… all in a context and experience that is always unique, highly personalized, and wildly fun! We strive to share and represent these values in everything that we do – at every point in the process. 

One of many important benefits to you as our clients, is that you will work with one cohesive creative team – as our firm’s extensive in-house design capabilities enable us to streamline the creative process and deliver an award-winning event design experience that feels personal and joyful from start to finish.

Based on all of the details we have discussed, we have prepared this proposal to encompass comprehensive destination wedding planning, design, and production for your destination celebration next year. In particular, we have taken into account a number of important considerations such as the following: 

  • The anticipated overall scope of the project

  • The geographic locations under consideration for the wedding weekend

  • Your overall planning time-frame between now and early 2027

  • The desired flow of the weekend and guest experience

  • The approximate size of the guest list/headcount

We anticipate that our team will spend a minimum range of 600-750 hours working on the event in the months leading up to the wedding weekend and at minimum - an additional 150 -200 collective team hours during the wedding week itself, but our fee structure ensures that you are not simply charged an hourly rate. Our approach preserves continuity and cohesiveness in the broader context of the scope of the project and overall budget goals.  A description of our fee structure is included below. Your planning experience includes:

 Logistical Planning

  • Initial Budget Preparation, virtual budget Review session, Ongoing Tracking & Stewardship
  • Comprehensive destination, venue, and Vendor Research with Curated Custom Referrals & Selection Guidance
  • VENUE & VENdor Contract Review & Negotiation 
  • Complete Vendor Coordination & Communication on Your Behalf
  • one ADVANCE SITE VISIT/planning trip to selected destination
  • a full-day Creative Session TO KICK-START THE creative PROCESS 

    This session is ideally held in person in our NC-based design studio, but may be combined with a site visit. We’re also happy to travel to you if that’s most convenient for your schedule. Most of our planning can be done virtually if needed, but it’s important to be together for this one if at all possible.

  • Up to three Additional Planning/Design Sessions as needed

    These sessions are typically 2 hours each and may be easily held in person in our studio, virtually via video conference, or on location in conjunction with a site visit/culinary tasting, etc. depending on what is most convenient for you.

  • Unlimited Phone and Email Communication as Needed
  • Etiquette Advisement
  • Creation/Design & Maintenance of a Custom Wedding Website 
  • Menu Development Assistance & Coordination WITH your Culinary Team 
  • Wedding Weekend Timeline Development & Management
  • COMPLIMENTARY save the date & Invitation mailing 
  • complimentary rsvp tracking
  • Orchestration and Confirmation of all Vendor Services, including Arrival and Setup Times, Load-in/Load-out, Installation and Operational Duties
  • Comprehensive Onsite Wedding Event Management 
  • logistical planning for any additional ancillary weekend events as needed (such as your rehearsal dinner, welcome party, etc.)

    Remember that custom website we promised to develop above? It will be designed with consistent font selections and custom artwork to play a cohesive role in your communication with your guests and set the tone for the entire weekend of celebration.

  • Design, Production & Distribution of Custom Guest Welcome Gifts
  • coordination/collaboration with a local floral partner for Original Fresh Floral Design 
  • Creation and Presentation of Complete Event Space Aesthetic & Design Plan

    This will include a variety of diagrams, 3D renderings whenever possible, sketches, digital design proofs, mock-ups and/or samples for your review.

  • Sourcing and/or Production of Lighting, TENTING, Rental & Décor Elements
  • Onsite Creative Direction & Styling
  • Onsite Design Installation

    In order to ensure quality, professionalism, a productive vendor team dynamic, and preservation of artistic integrity, RRE reserves the right to approve your choice of vendors, as well as any rentals, materials, and/or vendor services. We will work very hard to help you select a team of professionals we believe to be the very best fit to serve you, and we are grateful for your trust in that curation of expertise.

Floral Design

Our team will curate and design a vision to incorporate fresh flowers as part of our comprehensive creative process. 

Because we serve as your event design team, we know that other florists are unlikely to understand the overall aesthetic vision as well as we will by the time we reach the wedding weekend!

Over the weeks and months that we’ll work together, we get to know you and are delighted to create bespoke floral artistry that you will love.

Including this service in our overall creative process allows us to work most efficiently with your budget. We will simply invoice you for your floral designs once a full design plan and floral order is complete and meets your approval.

For domestic destinations our team designs all floral arrangements. For international destination weddings we will source a local floral design partner and work with them to curate and execute your vision.

Graphic Design & Print Production

As our clients, you’ll enjoy one-of-a-kind wedding stationery, guest welcome gifts, and paper elements that our design team will create exclusively for you, along with a custom wedding guest website.

Our creative process is fully inclusive of original graphic design, illustration, and print production, as we believe that even the smallest details set the tone for any event and contribute mightily to a cohesive guest experience. Our body of work features letterpress, engraving, embossing, and full-color digital print methods. The sky is the limit when it comes to creativity.

Each element will be designed with intention, crafted with care, produced with exceptional quality, and play an integral part in telling your story.

As with floral design, there is no minimum stationery order requirement!

your investment 

Rebecca Rose Events is exclusively a full-service event planning, design, and production firm.  Our services are tailored to the needs and preferences of our clients and the overall style and scope of each project, as well as the location of the wedding.

For your wedding in early 2027 we will provide comprehensive planning, creative direction, event design, and onsite event management.

Our fee will be $65,000, or 18% of the overall budget, whichever is greater (with some exclusions, as explained below.) Travel and accommodations for our team will be estimated in advance as part of the budget development process and billed for reimbursement.

Note: Should the final scope of the wedding be such that 18% is greater than the minimum fee, please note that any percentage calculation of our fee still always excludes the following:

(1) personal fashion/attire

(2) all sales taxes, and

(3) any gratuities for vendor services

At Rebecca Rose Events, integrity is non-negotiable. We do not accept commissions, kickbacks, or financial incentives from venues or vendors. Our transparent percentage-based fee model ensures that every recommendation we make is unbiased, client-focused, and deeply rooted in trust. This structure empowers us to advocate exclusively for your interests and thoughtfully steward the investment you make in your celebration.

Next Steps

If you would like to move forward, here’s what happens next to kick-start a fantastic planning process:

1. We will send an agreement for your review and signature. 

2. The initial retainer fee will be 20% of your contract minimum, and it will be due upon booking. This secures your position as our client and your wedding celebration event on our project calendar.

3. Then, we’re off to the races to dive in to location research, budget development, critical/time-sensitive vendor research, and look ahead to schedule our creative session!

4. All remaining fees will be divided into four additional payments to be billed throughout the rest of the planning period. Materials and final design elements (such as printed stationery, floral elements, guest gifting items, rental goods, linens, props, candles, etc.) are invoiced separately as those orders are finalized and meet with your approval.
